UXstorm PDF now includes three UI Controls for use with both ServiceNow Forms and the Service Portal.
The Signature Control provides a visual representation of the signature workflow for a PDF form. As the pdf is signed and submitted to UXstorm PDF, the control updates in real-time the step of the workflow currently being completed, which signatures were accepted or rejected, and which signatures (if any) are required from the current user. This control is supported in both the Service Portal and in ServiceNow Forms.
When there are signatures required from the current user viewing the signature control, they appear under the required signature section. Additionally, the sign PDF button will be available in the PDF’s header. Each of these can be clicked to download the PDF for viewing:
The current state of the Workflow is displayed in two places. The first is in the PDF’s Header where it is always visible even in the collapsed state. The second is in the Workflow progress bar.
In the progress bar, each workflow state is color-coded to reflect its current state.
Green – Complete
Blue – Active
Yellow – Active with current revision rejected
Grey – Not active
The area shown in the green box is the information for the workflow step. This information is customized on the workflow definition record and gives the user the opportunity to explain what is currently happing in the signature workflow to your users. The information for any workflow state can be viewed by clicking it in the workflow progress bar.
Highlighted in the red box are all of the current signatures on the latest revision of the PDF. When clicked, each signature will reveal a popup that gives more information about the signature. The popup included whether the signature was accepted or rejected, the reason if it was rejected, and detailed certificate information:
At the bottom of each PDF with active workflow is an expandable list of revisions that, when expanded, will show each revision that was submitted for that PDF:
Each revision includes an information icon that, when clicked, will open a popup including information about the revision, whether the revision was accepted or rejected, and any reasons why it was rejected.
The revisions also include the signatures they were submitted with. When clicked these will reveal the same popup as the signatures in the current signatures section:
Upon completion of the signature workflow, the Workflow progress bar will appear all green and the document complete icon will appear in the PDF’s heading.
Once a PDF begins a signature workflow, the subsequent revisions are tracked on separate revision records until the workflow is complete. This control is meant to be supplemental to the attachment control and allows the user to view the latest valid revision for each PDF with an active signature workflow. This control is supported in both the Service Portal and in ServiceNow Forms and it is designed to replicate the appearance of the attachment bar in a ServiceNow Form and the attachment widget in the Service Portal.
The attachment control is designed to look and function like the built-in ServiceNow attachments bar at the top of a form. The major distinction is this control will automatically update when a new attachment is added either by another user or by a process running on the ServiceNow? such as UXstorm PDF. This control only works inside of ServiceNow Forms and is not supported in the Service Portal. If you require this type of functionality in the Service Portal, we recommend using ServiceNow’s built-in attachment widget.
